Accountant for web and digital agencies

Direct answer: FinPilot helps web, digital and marketing agencies see which clients and projects actually make money, smooth lumpy project cash with a rolling 13-week forecast, and stay on top of VAT, payroll and freelancers. Calls and texts with an ICAEW Chartered Accountant are included in one fixed monthly fee.

Know which work pays

Most agencies know their revenue but not their margin by client. FinPilot reports profit by project and client, team utilisation and retainer income alongside your monthly accounts, so pricing and hiring decisions are based on what the work really earns.

What's included

Common questions

How do I know which clients are profitable?

Track time or cost against each client and project, then compare it with what you bill. FinPilot sets this up in your monthly reporting so margin by client sits next to your profit and loss, and it's obvious where to reprice, renegotiate or say no.

How can an agency smooth lumpy project cash flow?

Use a rolling 13-week forecast that shows project milestones, retainers, payroll and VAT week by week. From there: staged billing, deposits, retainers and firmer payment terms close the gaps before they hit.

Do my freelancers fall under IR35?

It depends on how they work for you and on your company's size. If you're a small company, the freelancer's own company usually decides their status; once you're medium or large, the responsibility moves to you. We'll flag the questions to ask, and involve an employment specialist where the answer isn't clear.

How quickly do you reply to calls and texts?

Calls and texts about your business and your numbers are included in your fixed monthly fee, with a reply within one working day, Monday to Friday. New projects, such as a fundraise, share scheme or catch-up bookkeeping, are quoted as a fixed fee before any work starts, so there's never an invoice you haven't agreed in advance.

How hard is it to switch accountant?

Not hard. Once you've signed up, we contact your current accountant for professional clearance and handover, set up your Xero access and agree a start date. The best time to switch is a few months before your year-end, so your next accounts are prepared properly from the start.
